Project Manager / Office Manager 

This role is a hybrid role whereby your time will be split 70/30 between project management duties and office management tasks.

As the project manager, you will play a critically important role in assisting account management functions — tasks involved for both the client service and the creative team.

Specifics include:
-Initiating new jobs on our project management system
-Manage and organize all documents on shared server on a daily basis
-Assisting with account team with building out timelines and tasks
-Assisting with client billing and budgeting matters, including estimating, invoicing and acquiring third party vendor estimates as required. 
-Conducting research as it relates to client products/services and being actively aware and tuned into what is happening in our clients landscape and sharing with colleagues
-Assisting with competitive and industry analysis process
-Attending assigned internal meetings and creating contact reports or recapping on next steps for all parties involved
-Updating team calendars/client meetings as needed.
-Proactively take initiative to follow up on assignments, provide regular updates and seek how to assist account manager and creative team
-Supporting client service team with all ad hoc daily activities
-Keeping internal team on their toes every day, making sure they know what to do first, second, third, etc.
-Very important: Keeping everything on time and on budget, or at least being so -on top of it, that you can tell us way in advance when it looks like things will go awry or we need more resources in order to get the job done.
-Helping to identify best resources for creative production, e.g., online content, photography, talent, etc.
-Understand, learn and be a part of Our Man In Havana's creative process on your assigned projects

As our office manager the following are solely your tasks:

-Responsible for mail, messengers, FedEx, and all mail shipping related tasks - Booking travel (Car service, trains, planes etc.)  for internal teams and clients if requested
-Setting up for client meetings (snacks, stationary, printouts and any technical requirements) 
-Manage office supplies on a regular basis. Ordering supplies in advance of running out
-Day to day liaison with company president on any ad hoc administrative duties


  • 1-2 years experience in a roll with project management or production responsibilities
